These Terms and Conditions ("Terms") govern your participation in, attendance at, and use of services related to India Pharma Expo 2026 ("the Event"), including the co-located NextGen Pharma Summit & Awards and Healthcare Innovation Summit & Expo, organised by Elets Technomedia Private Limited ("the Organiser"). By registering for, sponsoring, exhibiting at, speaking at, or attending the Event, you agree to be bound by these Terms in their entirety.

Section 01

Definitions

For the purposes of these Terms, the following definitions apply:

  • "Event" refers to India Pharma Expo 2026, including all co-located summits, conferences, awards ceremonies, buyer-seller meets, networking sessions, gala dinners, and associated activities scheduled from 23rd to 25th April 2026 at HITEX Exhibition Centre, Hyderabad, Telangana, India.
  • "Organiser" refers to Elets Technomedia Private Limited (CIN: U72900DL2003PTC119389), having its corporate office at Stellar IT Park, 7A/7B, 5th Floor, Annexe Building, Tower-B, C-25, Sector 62, Noida – 201309, Uttar Pradesh, India.
  • "Participant" collectively refers to any Exhibitor, Sponsor, Delegate, Visitor, Speaker, Award Nominee, Media Partner, or any other individual or entity participating in the Event.
  • "Exhibitor" refers to any individual or entity that has booked exhibition space (built-up booth or bare space) at the Event.
  • "Delegate" refers to any individual who has purchased or been granted a delegate pass to attend the Event's conference, summit, or knowledge sessions.
  • "Visitor" refers to any individual accessing the exhibition floor on a visitor registration basis.
  • "Sponsor" refers to any individual or entity that has entered into a sponsorship agreement with the Organiser.
  • "Event Platform" refers to the official website (www.indiapharmaexpo.com), mobile applications, registration portals, and any digital platforms associated with the Event.
  • "Venue" refers to HITEX Exhibition Centre, Hitex Road, Izzathnagar, Kothaguda, Hyderabad, Telangana – 500084, India.
Section 02

Acceptance of Terms

By completing any registration form, making a payment, signing an exhibitor or sponsorship agreement, or attending the Event in any capacity, you confirm that you have read, understood, and agree to be bound by these Terms, the Privacy Policy, and the Refund & Cancellation Policy of India Pharma Expo 2026.

If you are registering or entering into an agreement on behalf of a company or organisation, you represent and warrant that you have the authority to bind such entity to these Terms.

The Organiser reserves the right to deny or revoke registration, participation, or entry at any time if these Terms are violated.

Section 03

Eligibility & Registration

Participation in the Event is open to professionals, companies, institutions, and organisations associated with the pharmaceutical, healthcare, biotechnology, life sciences, medical devices, and technology sectors. Registration is subject to the following conditions:

  • All registrations must be submitted through the official Event Platform or through authorised representatives of the Organiser.
  • Participants must provide accurate, complete, and up-to-date information during registration. The Organiser is not responsible for any consequences arising from incorrect or incomplete information provided by the Participant.
  • Each registration is personal and non-transferable unless prior written approval is obtained from the Organiser.
  • The Organiser reserves the right to accept, reject, or cancel any registration at its sole discretion without assigning any reason.
  • Participants under the age of 18 must be accompanied by a parent or legal guardian and may not register independently.
  • All Participants must carry a valid government-issued photo identification for on-site badge collection and venue access.
Section 04

Exhibitor Terms

4.1 Booth Allocation & Space Assignment

Booth allocation is strictly on a first-come, first-served basis. The Organiser reserves the right to assign, reassign, or relocate booth space at any time prior to the Event based on operational, safety, or logistical requirements. While reasonable efforts will be made to accommodate Exhibitor preferences, the Organiser does not guarantee specific booth locations.

4.2 Booth Types

The Event offers two primary booth options: Built-up Booth (shell scheme with standard fittings, directory listing, and branding) and Bare Space (raw floor space for custom-designed stands). Specifications, inclusions, and pricing for each option are detailed in the official exhibitor brochure and booking form.

4.3 Setup & Dismantling

  • Exhibitors must complete booth setup within the designated setup period as communicated by the Organiser. Late setup may result in the booth not being available for the Event's opening.
  • All exhibits, displays, and materials must be dismantled and removed within the designated dismantling period post-Event. Any items left after the deadline will be removed and disposed of at the Exhibitor's cost.
  • Exhibitors are responsible for the setup, maintenance, and dismantling of their own booths and shall bear all associated costs unless otherwise specified in the booking agreement.

4.4 Exhibitor Obligations

  • Exhibitors shall display only products, services, and materials directly relevant to the pharmaceutical, healthcare, and technology sectors.
  • Displays must not obstruct neighbouring booths, aisles, or emergency exits.
  • Sound, lighting, and any audio-visual elements must comply with Venue regulations and must not cause undue disturbance to adjacent Exhibitors or attendees.
  • Exhibitors shall comply with all applicable local, state, and central laws and regulations, including but not limited to the Drugs and Cosmetics Act, 1940, and any applicable advertising and labelling regulations.
  • Sub-letting, sharing, or transferring booth space to any third party without the Organiser's prior written consent is strictly prohibited.
  • Exhibitors are solely responsible for the security of their products, equipment, and materials during the Event. The Organiser shall not be liable for any loss, theft, or damage to Exhibitor property.

4.5 Insurance

Exhibitors are strongly advised to obtain comprehensive insurance covering their exhibits, equipment, staff, and third-party liability for the duration of the Event, including setup and dismantling periods. The Organiser does not provide any insurance coverage for Exhibitors.

Important: Exhibitors must submit the Exhibitor Manual Acknowledgment Form and proof of insurance (if applicable) at least 15 working days prior to the Event. Failure to comply may result in delayed booth access.
Section 05

Delegate & Visitor Terms

  • Delegate passes grant access to conference sessions, panel discussions, plenary sessions, CEO & R&D roundtables, buyer-seller meets, networking events, and the exhibition floor, as specified for the pass category purchased.
  • Visitor passes grant access to the exhibition floor and select open sessions only, as determined by the Organiser.
  • All passes are issued for personal use only and are non-transferable. Badge sharing is strictly prohibited and may result in immediate removal from the Event.
  • The Organiser reserves the right to modify the conference agenda, speaker lineup, session timings, and programme content at any time without prior notice or liability.
  • Access to certain premium sessions (including CEO Roundtables, Gala Dinner, and invite-only sessions) may be restricted to specific pass categories or by invitation.
  • Delegates and visitors must comply with all Venue rules, security protocols, and instructions issued by the Organiser or Venue management at all times.
Section 06

Speaker & Award Nominee Terms

6.1 Speakers

  • Speakers are invited at the sole discretion of the Organiser. The Organiser reserves the right to accept, reject, modify, or cancel any speaking engagement at any time.
  • Speakers shall deliver original, non-promotional, and factually accurate content. Presentations must not infringe upon any third-party intellectual property rights.
  • Speakers grant the Organiser a non-exclusive, royalty-free, perpetual licence to record, reproduce, distribute, and publish their presentations, audio, video, and photographs for promotional and archival purposes.
  • Any travel, accommodation, or remuneration arrangements shall be governed by the terms of the individual speaker agreement, if applicable.

6.2 India Pharma Awards 2026 — Nominees

  • Award nominations are subject to the Organiser's eligibility criteria and evaluation process. The Organiser's decision on award recipients is final and binding.
  • Nomination fees, if applicable, are non-refundable regardless of the outcome.
  • By submitting a nomination, the Nominee grants the Organiser permission to use their name, logo, and company information in Event-related marketing and communications.
Section 07

Sponsorship Terms

Sponsorship packages (Platinum, Gold, Silver, Associate, and customised options) are governed by the individual sponsorship agreements executed between the Sponsor and the Organiser. General sponsorship terms include:

  • Sponsorship benefits, deliverables, and branding placements are as specified in the signed sponsorship agreement and the official sponsorship brochure.
  • The Organiser reserves the right to modify sponsorship deliverables in case of circumstances beyond its reasonable control, provided that commercially reasonable alternatives of equivalent value are offered.
  • Sponsors shall provide all branding materials, logos, and content in the formats and by the deadlines specified by the Organiser. Late submissions may result in exclusion from select deliverables.
  • Sponsorship commitments are non-cancellable once the agreement is executed and payment is received, except as specified in the Cancellation & Refund Policy below.
Section 08

Payments & Invoicing

  • All fees are quoted in Indian Rupees (INR) unless specified otherwise for international Participants. International Participants may be invoiced in USD as mutually agreed.
  • Applicable Goods and Services Tax (GST) at the prevailing rate (currently 18%) will be charged over and above the base fee, unless explicitly stated as inclusive.
  • Payments must be made via bank transfer (NEFT/RTGS/IMPS), cheque, demand draft, or through the online payment gateway available on the Event Platform, as specified in the invoice.
  • All payments are due within the timeline specified in the invoice or booking confirmation. Late payments may attract a penalty of 2% per month on the outstanding amount.
  • Booth space, sponsorship positions, and delegate registrations will be confirmed only upon receipt of full payment or as per the agreed payment schedule.
  • The Organiser reserves the right to cancel or reallocate any unconfirmed bookings for which payment has not been received within the stipulated timeline.

Section 09

Cancellation & Refund Policy

9.1 Cancellation by Participant

All cancellation requests must be submitted in writing to the Organiser at info@indiapharmaexpo.com. The following cancellation and refund schedule applies:

Cancellation Notice Period Refund / Deduction
More than 60 days before the Event 75% refund of the amount paid (25% retained as administrative charges)
30 to 60 days before the Event 50% refund of the amount paid
15 to 29 days before the Event 25% refund of the amount paid
Less than 15 days before the Event No refund — 100% of the amount is forfeited
No-show / Non-attendance No refund — 100% of the amount is forfeited

Refunds, where applicable, will be processed within 30 business days from the date the cancellation request is approved.

9.2 Cancellation or Postponement by Organiser

In the event that the Organiser cancels or postpones the Event due to circumstances within its reasonable control, Participants will be offered the option of a full credit towards a rescheduled edition of the Event or a refund as per the applicable terms. The Organiser shall not be liable for any consequential losses, including but not limited to travel, accommodation, or lost business opportunities.

9.3 Substitution

Participants may substitute an alternative representative from the same organisation at no additional cost, provided the Organiser is notified in writing at least 7 days prior to the Event.

Section 9

Intellectual Property

  • The name "India Pharma Expo," the Event logo, taglines, branding, website content, programme materials, and all associated intellectual property are the exclusive property of Elets Technomedia Private Limited or its licensors.
  • Participants shall not use, reproduce, modify, or distribute any Event branding or intellectual property without the prior written consent of the Organiser.
  • Exhibitors and Sponsors are granted a limited, non-exclusive, non-transferable licence to use the Event name and logo solely for the purpose of promoting their participation in the Event, in accordance with the Organiser's brand guidelines.
  • All content, materials, and presentations shared by speakers, exhibitors, or other Participants at the Event remain the intellectual property of their respective owners. The Organiser does not claim ownership of such content, except for the licence granted under the Speaker Terms above.
Section 10

Code of Conduct

India Pharma Expo 2026 is committed to providing a safe, professional, and inclusive environment for all Participants. All Participants agree to the following:

  • Treat all attendees, staff, vendors, and Venue personnel with courtesy and respect.
  • Refrain from any form of harassment, discrimination, intimidation, or disruptive behaviour based on race, gender, religion, nationality, disability, age, sexual orientation, or any other protected characteristic.
  • Do not engage in any illegal, unethical, or fraudulent activity on the Event premises.
  • Comply with all Venue regulations, including fire safety protocols, capacity limits, emergency procedures, and designated smoking areas.
  • Do not distribute promotional materials, flyers, or samples outside of your designated booth space or without the Organiser's prior written approval.
  • The consumption of alcohol is permitted only in designated areas during authorised social events (e.g., Corporate Gala Dinner). Intoxication or any behaviour arising from excessive consumption that disrupts the Event is strictly prohibited.

The Organiser reserves the right to remove any Participant from the Event who violates this Code of Conduct, without refund or compensation. In cases of serious violations, the Organiser may report the matter to the relevant law enforcement authorities.

Section 11

Data Protection & Privacy

  • The Organiser collects, processes, and stores personal data (including name, email address, phone number, company name, designation, and dietary preferences) for the purpose of Event management, communication, and improvement of services.
  • Participant contact details may be shared with Exhibitors, Sponsors, and co-located event partners for legitimate Event-related purposes, including follow-up communications, buyer-seller matchmaking, and post-Event surveys.
  • Participants may opt out of marketing communications at any time by contacting the Organiser at info@indiapharmaexpo.com or by using the unsubscribe link in any marketing email.
  • The Organiser implements reasonable technical and organisational security measures to protect personal data against unauthorised access, alteration, disclosure, or destruction.

  • The Organiser processes personal data in compliance with the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and the Digital Personal Data Protection Act, 2023, as applicable.
Section 12

Photography, Media & Consent

  • The Organiser and its authorised media partners will photograph, record audio and video, and livestream portions of the Event for promotional, editorial, and archival purposes.
  • By attending the Event, Participants consent to being photographed and/or recorded and grant the Organiser a royalty-free, perpetual, worldwide licence to use such images and recordings in all media, including but not limited to the Event website, social media, newsletters, press releases, and future Event marketing materials.
  • Participants who wish to opt out of photography or recording must notify the Organiser in writing prior to the Event and wear the designated "No Photography" identifier provided on-site.
  • Unauthorised commercial filming, live-streaming, or sound recording of Event sessions, presentations, or keynotes by any Participant is strictly prohibited unless prior written permission is obtained from the Organiser.
  • Exhibitors may photograph or record within their own booth space. Photography or recording of other Exhibitors' booths, proprietary products, or trade secrets without their consent is prohibited.
Section 13

Limitation of Liability

  • The Organiser, its directors, employees, agents, and affiliates shall not be liable for any direct, indirect, incidental, special, consequential, or punitive damages arising out of or in connection with the Event, including but not limited to: loss of business, revenue, profits, data, or goodwill; personal injury, property damage, or theft; any acts or omissions of the Venue, its staff, or third-party service providers; and any failure, delay, or interruption in Event services or technology.
  • The Organiser does not warrant, guarantee, or make any representation regarding: the number of attendees, exhibitors, or visitors; the quality, suitability, or availability of any product, service, or information presented at the Event; or the commercial outcome, leads, or business results from participation.
  • Participants attend and participate in the Event entirely at their own risk. It is the Participant's responsibility to ensure they have adequate insurance coverage for travel, health, property, and professional liability.
  • In any event, the Organiser's maximum aggregate liability to any Participant shall not exceed the total fees paid by that Participant for their participation in the Event.
Health & Safety: Participants with pre-existing medical conditions are advised to consult their healthcare provider before attending. The Organiser will have basic first-aid facilities on-site but is not responsible for any medical emergencies.
Section 14

Force Majeure

The Organiser shall not be liable for any failure to perform or delay in performing any obligation under these Terms if such failure or delay is caused by events beyond the Organiser's reasonable control, including but not limited to:

  • Natural disasters (floods, earthquakes, cyclones, epidemics, pandemics)
  • Acts of God, war, terrorism, civil unrest, or military action
  • Government actions, sanctions, regulations, lockdowns, or travel restrictions
  • Strikes, labour disputes, or industrial action
  • Venue unavailability due to structural, safety, or regulatory issues
  • Failure or disruption of essential utilities (power, water, internet, telecommunications)
  • Any other event beyond the reasonable control of the Organiser

In such circumstances, the Organiser may, at its sole discretion, postpone, reschedule, relocate, modify, or cancel the Event. Participants will be notified as soon as practicable, and the Organiser will make commercially reasonable efforts to offer alternative arrangements or credits towards a future edition.

Section 15

Modification & Amendments

The Organiser reserves the right to update, modify, or amend these Terms at any time. Any material changes will be communicated via the Event Platform, email, or other reasonable means. Continued participation in the Event after such modifications constitutes acceptance of the revised Terms.

The Organiser also reserves the right to change the Event dates, timings, Venue, agenda, speaker lineup, session format, or any other aspect of the Event at any time, with reasonable prior notice where possible. Such changes do not entitle Participants to a refund unless the Event is cancelled in its entirety.

Section 16

Governing Law & Jurisdiction

These Terms shall be governed by and construed in accordance with the laws of India. Any dispute, controversy, or claim arising out of or relating to these Terms or the Event shall be subject to the exclusive jurisdiction of the courts of New Delhi, India.

The Parties agree to first attempt to resolve any disputes amicably through good-faith negotiation. If the dispute is not resolved within 30 days of written notice, either Party may refer the dispute to arbitration under the Arbitration and Conciliation Act, 1996, with a sole arbitrator appointed mutually by both Parties. The seat of arbitration shall be New Delhi, and proceedings shall be conducted in English.
